What Is I-9 Verification?

I-9 verification is the process employers use to confirm that a new hire’s identity and work eligibility are legitimate under US law. Every employee hired after November 6, 1986, must complete Form I-9 by providing documents proving who they are and that they’re legally allowed to work in the US. It’s critical to hiring compliance for businesses of all sizes — from small shops to large corporations.

Who Needs To Fill Out Form I-9?

Any employee hired after November 6, 1986, must complete Form I-9, regardless of whether they’re US citizens or non-citizens. Independent contractors and volunteers generally don’t need to, but misclassifying workers can cause serious legal trouble. Remote employees and paid interns need to complete the form, and employers must ensure proper verification processes are in place for all hires.

What Documents Are Acceptable for Form I-9?

Employees must provide either one document from List A (such as a US passport or Green Card) or a combination of one document from List B (identity proof, like a driver’s license) and one from List C (work authorization, like a Social Security card). Employers cannot specify which documents to bring and must only inspect original, unexpired documents without discriminating or asking for extras.

How Long Does I-9 Verification Take?

Filling out an I-9 form doesn’t take long. Employees are required to complete Section 1 on their first day of work, and employers have three business days from the employee’s start date to review the documents and complete Section 2. While the process is quick, having systems to avoid errors and keep everything organized can save time and stress in the long run, especially when audits or inspections happen.
